Start with the business domain
You need control of a suitable domain before creating addresses such as hello@yourbusiness.com.au. Confirm that the registration belongs to your business and that you can access its DNS settings.
Avoid allowing an employee or supplier to become the only person with registrar access. Use a secure recovery address and multi-factor authentication where available.
Choose a mailbox provider
Microsoft 365 is a common fit for small businesses that want Exchange Online email, Outlook, shared calendars, Teams, OneDrive or SharePoint. Other platforms may suit different workflows, but the choice should be made before DNS is configured.
Set up the tenant in the business's name and select licences around the features each person actually requires.
Plan the addresses
Named addresses such as lance@yourbusiness.com.au are useful for direct communication. Role-based addresses such as hello@, sales@ and accounts@ can remain consistent as people change.
- Give each person their own sign-in
- Use shared mailboxes or groups where appropriate
- Avoid sharing one password between several people
- Keep administrator accounts separate and protected
Configure email authentication
DNS records direct mail to the provider and help other systems assess whether a message is legitimate. SPF identifies authorised sending services. DKIM applies a cryptographic signature. DMARC tells receiving systems how to handle messages that fail checks and provides reporting options.
These records should reflect every legitimate service that sends using your domain, including website forms and marketing platforms where applicable.
Secure and test the setup
Enable multi-factor authentication, configure recovery methods and test sending and receiving from each address. Check mobile and desktop access, calendar behaviour and any shared mailboxes.
A business email setup is complete when ownership, security and recovery are understood—not merely when one test message arrives.
The best setup is business-owned, secure and deliberately connected. You do not need every possible product—you need the right few pieces configured properly.
